Terms of Service

These Terms explain the responsibilities, service expectations, and payment conditions that apply when you use the Comfort Scent Cleaning website or request residential or commercial cleaning services.

Effective date: August 1, 2026

1. Introduction and Acceptance of Terms

These Terms of Service (“Terms”) are an agreement between you and Comfort Scent Cleaning (“Comfort Scent,” “we,” “us,” or “our”). They apply to your use of our website, online estimate and quote tools, communications, appointment requests, and cleaning services. By using the website, submitting a request, approving a quote, making a payment, or allowing service to begin, you acknowledge that you have read and agree to these Terms. If you do not agree, do not use the website or request services.

Additional written terms presented in an estimate, quote, confirmation, service agreement, invoice, cancellation policy, or approved scope of work also apply. If a directly applicable written service agreement conflicts with these Terms, the more specific written agreement controls for that service.

2. Services Offered

Comfort Scent offers residential and commercial cleaning services, which may include Standard Cleaning, Deep Cleaning, Move-In / Move-Out Cleaning, Airbnb and vacation-rental turnover cleaning, Post-Construction Cleaning, commercial cleaning, and available add-on services. Availability, scope, staffing, service frequency, and pricing depend on location, property conditions, scheduling, and the service details accepted by Comfort Scent.

You are responsible for selecting the service that most accurately reflects the property and requested work. Comfort Scent may recommend a different service or decline work that falls outside an available service category or reasonably safe operating conditions.

3. Estimates and Customer-Provided Information

Estimates and quote recommendations are based on information you provide, including the selected service, property type, square footage, occupancy, condition, frequency, rooms, selected additions, access, and special circumstances. You are responsible for providing complete, current, and accurate information and for correcting any error before service begins.

An online estimate is not a guarantee that every condition can be evaluated remotely. If the actual property, condition, level of buildup, accessibility, square footage, occupancy, safety issue, or requested scope differs materially from the submitted information, Comfort Scent may pause the work and propose a revised service, price, schedule, or scope before proceeding.

4. Booking Requests and Appointment Scheduling

Submitting an estimate, quote, preferred date, booking form, or reservation deposit does not by itself guarantee an appointment at a particular date or time. All appointment requests remain subject to service-area confirmation, staffing, travel considerations, property details, and availability. An appointment is confirmed only when Comfort Scent communicates confirmation through an authorized channel.

Arrival and completion times may be reasonable windows rather than exact guarantees. Comfort Scent may reschedule or adjust an appointment because of weather, unsafe conditions, illness, transportation, staffing, operational requirements, prior-job delays, emergencies, or other unforeseen circumstances. We will make commercially reasonable efforts to communicate a material scheduling change and offer an appropriate next step.

5. Reservation Deposit

Certain services require a reservation deposit before Comfort Scent continues the scheduling process. The deposit amount is displayed before payment and, unless otherwise stated in writing, is applied toward the approved service price. A deposit reserves scheduling capacity and supports preparation for the requested service; its payment does not waive the requirement for accurate property information or final scheduling confirmation.

Deposit refundability and any amount retained following a cancellation or late rescheduling are governed by the policy or written terms disclosed for the applicable booking, subject to applicable law.

6. Final Pricing, Scope Changes, and Additional Work

Final pricing is based on the accepted service scope and the condition information available before work begins. Customer requests made after booking, newly discovered conditions, increased square footage, restricted access, excessive buildup, or work beyond the accepted scope may require additional time or a revised price.

Comfort Scent will not apply an additional service charge without customer approval. If the customer does not approve a proposed change, Comfort Scent may complete only the previously approved and reasonably accessible scope, reschedule the affected work, or decline work that cannot reasonably be performed under the original scope.

7. Customer Responsibilities and Property Preparation

To help us perform the service safely and efficiently, you are responsible for:

  • Selecting an appropriate service and providing accurate square footage, condition, occupancy, and scope details.
  • Providing lawful, safe, and timely access to the property and all approved work areas.
  • Providing accurate alarm, gate, parking, building, lockbox, key, and access instructions.
  • Ensuring running water, working electricity, reasonable indoor temperature, and functioning utilities necessary for the service.
  • Providing reasonable parking or disclosing parking restrictions and costs before the appointment.
  • Removing clutter or personal items that prevent reasonable access to approved cleaning areas.
  • Disclosing pets, pests, biohazards, hazardous materials, weapons, broken fixtures, unstable items, construction hazards, or other unsafe conditions.
  • Securing pets, children, and other occupants when reasonably necessary for safety or uninterrupted work.
  • Identifying surfaces, materials, finishes, appliances, or items requiring special care.
  • Maintaining accurate contact information and remaining reasonably reachable for necessary approvals or questions.

Customer-caused delays, unavailable utilities, inaccessible areas, undisclosed conditions, or interrupted access may reduce the work that can be completed, require rescheduling, or result in a proposed scope or price adjustment that must be approved before proceeding.

8. Property Access, Utilities, and Safe Working Conditions

You represent that you are authorized to grant Comfort Scent and its personnel access to the property. Keys, codes, and access instructions must be accurate and lawfully provided. Comfort Scent is not responsible for an inability to perform work caused by denied, delayed, or defective access instructions.

Comfort Scent may decline, limit, or suspend service when conditions are unsafe, unlawful, unsanitary beyond the accepted scope, or likely to endanger a customer, employee, contractor, animal, or property. Examples may include hazardous chemicals, active infestations, bodily fluids, exposed needles, unsecured firearms, structural instability, aggressive animals, extreme temperatures, unsafe electrical conditions, or unavailable essential utilities. Service may resume only after the condition is reasonably corrected and any revised scope is approved.

9. Pets, Children, and Other Occupants

You must disclose pets and any animal-related access or safety concerns before service. Pets must be safely secured when requested or when their presence could interfere with service. Comfort Scent is not responsible for an animal escaping or being injured when the customer has not provided reasonable disclosure, restraint, or a secure area, except to the extent responsibility cannot lawfully be excluded.

A responsible adult should supervise children and other occupants who require supervision. Customers should keep people away from wet floors, equipment, cleaning products, and active work areas. Comfort Scent personnel do not provide childcare, pet care, medical supervision, or security services.

10. Personal Property, Fragile Items, and Valuables

Before service begins, you are responsible for securing cash, jewelry, firearms, medications, confidential documents, electronic credentials, collectibles, irreplaceable items, and other valuable or sensitive belongings. Comfort Scent personnel should not be asked to handle unsecured firearms, illegal items, or confidential materials.

Fragile, unstable, damaged, improperly installed, high-value, or sentimental items should be removed from work areas or clearly identified in advance. Comfort Scent is not responsible for pre-existing damage, normal wear, hidden defects, unstable fixtures, deteriorated finishes, improperly secured items, or damage that results from a condition not reasonably visible before service, to the extent permitted by applicable law.

11. Cleaning Products and Customer-Supplied Products

Comfort Scent may select commercially reasonable cleaning products, tools, and methods appropriate to the accepted service. You must disclose known allergies, sensitivities, manufacturer restrictions, specialty surfaces, or product limitations before service begins. We do not guarantee that every stain, odor, discoloration, buildup, or surface condition can be removed safely.

If you request use of a customer-supplied product or tool, you are responsible for ensuring it is lawful, properly labeled, unexpired, reasonably safe, and appropriate for the intended surface. Comfort Scent may refuse to use a product it reasonably considers unsafe or unsuitable. To the extent permitted by law, Comfort Scent is not responsible for damage, discoloration, reactions, reduced results, or delays caused by a customer-supplied product, defective tool, or inaccurate use instruction.

12. Commercial, Airbnb, and Move-In / Move-Out Services

Commercial services

Commercial customers are responsible for identifying authorized contacts, access hours, building rules, restricted areas, alarm and security procedures, workplace hazards, parking or loading rules, and any industry-specific requirements. Unless expressly accepted in writing, Comfort Scent does not provide regulated environmental, medical, hazardous-material, security, or specialized restoration services.

Airbnb and vacation-rental services

Hosts and property managers are responsible for accurate turnover times, lawful access, linen and laundry instructions, inventory and restocking requirements, guest-departure status, and timely approval of additional work. Comfort Scent cannot guarantee guest check-in readiness when access is delayed, prior guests remain, utilities are unavailable, damage requires repair, or the requested scope exceeds the accepted turnover service.

Move-In / Move-Out services

Customers must accurately disclose whether the property is vacant, occupied, furnished, or affected by construction, repairs, abandoned property, pests, or heavy debris. Unless included in writing, cleaning does not include moving belongings, hauling heavy debris, repair, restoration, painting, or hazardous-material removal.

13. Service Limitations

Cleaning results depend on surface age, material, finish, maintenance history, staining, buildup, damage, ventilation, access, available time, utilities, and other property conditions. Comfort Scent will use commercially reasonable efforts to perform the approved scope, but does not promise restoration to new condition or removal of all stains, odors, mold, mineral deposits, permanent discoloration, damage, or contamination.

Unless specifically accepted in writing, services do not include hazardous-material remediation, mold remediation, pest treatment, biohazard cleanup, heavy construction-debris removal, structural repair, exterior work requiring unsafe access, or work requiring a specialized licensed contractor.

14. Payment Terms, Remaining Balance, and Late Payment

You agree to pay the approved price, deposit, additional approved charges, taxes if applicable, and remaining balance according to the payment instructions provided. Unless otherwise agreed in writing, the remaining balance is due when the cleaning service is completed. Payments may be processed by Stripe or another disclosed provider under that provider’s own terms.

If a payment is declined, reversed, disputed without valid basis, or remains unpaid when due, Comfort Scent may suspend future services, request another payment method, and pursue commercially reasonable collection options. The customer is responsible for reasonable collection costs or late charges only when disclosed, legally recoverable, and permitted by applicable law. Nothing in these Terms limits a customer’s lawful right to dispute an unauthorized or incorrect charge.

15. Refunds, Cancellations, and Rescheduling

Refund, cancellation, and rescheduling eligibility depends on the applicable service, notice provided, scheduling capacity reserved, work already performed, costs already incurred, and written policy presented for the booking. Reservation deposits may be fully or partially non-refundable when disclosed for the applicable booking, subject to applicable law.

Contact Comfort Scent as soon as reasonably possible if you need to cancel or reschedule. A requested change is not effective until acknowledged by Comfort Scent. We will apply the cancellation, refund, or rescheduling terms communicated for the booking and any rights that cannot be limited under applicable law.

16. Satisfaction Process and Damage Reporting

Service concerns

If you believe an approved area was missed or not completed with reasonable care, contact Comfort Scent promptly with a description and, when useful, photographs. We may request a reasonable opportunity to inspect the concern and, when appropriate, offer clarification, complete an omitted approved task, or re-clean the affected area. Any remedy depends on the accepted scope, property condition, and applicable law and is not a promise that every condition is removable.

Damage reports

Report suspected service-related property damage as soon as reasonably possible after discovery. Include the affected item, location, date, photographs, and relevant supporting information. Except in an emergency, allow Comfort Scent a reasonable opportunity to inspect before repair, disposal, or alteration. This process does not limit rights or remedies that cannot lawfully be limited.

17. Communications and Electronic Records

You agree that Comfort Scent and providers acting on our behalf may contact you using the email address, telephone number, or other channel you provide regarding inquiries, estimates, scheduling, access, service status, payments, invoices, support, and related transactions. You are responsible for maintaining accurate contact information and reviewing communications sent to it.

To the extent permitted by applicable law, you consent to receiving service agreements, confirmations, notices, invoices, and records electronically. You may retain electronic communications for your records. Optional marketing communications are subject to applicable consent and opt-out requirements and are addressed further in our Privacy Policy.

18. Website Use

You may use the website only for lawful personal or business-service purposes. You may not interfere with website operation, bypass security controls, submit false or fraudulent requests, impersonate another person, attempt unauthorized access, introduce malicious code, scrape the website in a manner that burdens its operation, or use website content to violate another person’s rights.

We may modify, restrict, suspend, or discontinue website availability or a feature when reasonably necessary for maintenance, security, legal compliance, abuse prevention, or business operations. We do not guarantee uninterrupted or error-free website availability.

19. Intellectual Property

The website and its original branding, text, graphics, service descriptions, estimate presentation, organization, and other content are owned by or licensed to Comfort Scent and are protected by applicable intellectual-property laws. You may view and use the website for evaluating or requesting Comfort Scent services. No other license is granted, and you may not reproduce, distribute, modify, sell, or commercially exploit protected content without prior written permission.

20. Third-Party Services

The website and business may rely on third-party services such as Stripe, Google, website hosting, email delivery, analytics, mapping, calendar, and AI providers. Third-party services are governed by their own terms and privacy practices. Comfort Scent does not control and is not responsible for a third party’s independent website, service availability, content, privacy practice, security, delay, or failure, except to the extent responsibility cannot lawfully be excluded. You should review third-party terms before using their services.

21. AI Concierge Disclaimer

The AI Concierge may provide general service information and help identify a possible next step. AI-generated responses may be incomplete, inaccurate, or unavailable. They do not create a binding quote, guarantee, confirmed appointment, professional advice, or a modification of these Terms. Only an authorized Comfort Scent estimate, quote, confirmation, or written communication can approve a price, schedule, or service commitment. Do not provide unnecessary sensitive information through the AI Concierge.

22. Limitation of Liability

To the fullest extent permitted by applicable law, Comfort Scent is not responsible for loss, delay, reduced results, additional work, or damage caused by inaccurate or incomplete customer information; customer actions or delays; inaccessible areas; denied or defective access; unavailable water, electricity, or other utilities; unsafe working conditions; pre-existing damage; normal wear; hidden defects; unstable or improperly installed items; customer-supplied products or tools; third-party provider delays or failures; or force majeure events.

To the fullest extent permitted by applicable law, Comfort Scent will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, including lost profits, lost revenue, lost bookings, loss of use, or business interruption. Where Comfort Scent is legally liable for a claim arising from an affected cleaning service, aggregate liability will not exceed the amount paid or payable for that affected service, unless a different amount is required by applicable law.

Nothing in these Terms excludes or limits liability for gross negligence, willful misconduct, fraud, personal injury, or another matter that cannot legally be excluded or limited. Some jurisdictions do not allow certain limitations, so portions of this section may not apply to you.

23. Indemnification

To the extent permitted by applicable law, you agree to defend, indemnify, and hold harmless Comfort Scent and its owners, employees, and contractors from third-party claims, losses, or reasonable costs arising from your material breach of these Terms, unlawful use of the website, lack of authority to grant property access, undisclosed hazards, or instructions or customer-supplied products that cause injury or property damage. This obligation does not apply to the extent a claim results from Comfort Scent’s negligence, willful misconduct, or other responsibility that cannot lawfully be shifted.

24. Force Majeure

Comfort Scent is not responsible for a delay or failure caused by circumstances beyond its reasonable control, including severe weather, hurricanes, flooding, fire, natural disaster, epidemic, governmental action, utility or internet outage, transportation disruption, labor shortage, civil disturbance, supply interruption, or third-party service outage. We will use commercially reasonable efforts to communicate and resume or reschedule affected services when practical.

25. Governing Law and Severability

These Terms are governed by the laws of the State of Florida, without regard to conflict-of-law principles, except where federal law or another jurisdiction’s mandatory consumer-protection law applies. Any dispute should first be raised with Comfort Scent in a good-faith effort to reach a practical resolution.

If a provision of these Terms is found invalid, unlawful, or unenforceable, it will be enforced to the maximum extent permitted and the remaining provisions will continue in effect. A failure to enforce a provision on one occasion is not a waiver of the right to enforce it later.

26. Changes to These Terms

Comfort Scent may update these Terms at any time. Revised Terms will be posted on this page with a new effective date. Where required by law, we will provide additional notice or request renewed agreement for a material change. To the extent permitted by applicable law, continued use of the website after revised Terms become effective constitutes acceptance of those revisions. Terms applicable to a service already purchased will not be changed retroactively where prohibited by law.
